Setup

Setup

At the end of this one-time setup, you will have created 3 custom reports in CRIO Looker that get emailed to crio-data-imports@florencehc.com on a daily basis.


Custom Report for eSource Study

  1. Start in Explore

  2. Search e-source study, then select Study:

 

3. Once Study is selected:

  • Expand the arrow for Clinical Trial, (see below for necessary fields)

  • Expand the arrow for Organization

  • Expand the arrow for Prime Coordinator

  • Expand the arrow for Principal Investigator

  • Expand the arrow for Site

  • Expand the arrow for Study

  • Expand the arrow for Study Details

4. OPTIONAL: If your organization is using a Master Site, filter that Site from the report:

  • a. Navigate to the Site arrow and select the Filter by Field icon next to the Permalink.
  • b. Once the Site Permalink Filter is selected, go to the Filters tab and select is not equal to as the filter and then select the name of the Master Site to filter out.

5. Select each of the Fields below to add to Custom Report:

 

Clinical Trial

  • CRO Name

  • Phase

  • Title

Organization

  • Permalink

Prime Coordinator

  • User Key (Back End)

  • Email

  • First Name

  • Last Name

Principal Investigator

  • User Key (Back End)

  • Email

  • First Name

  • Last Name

Site

  • Permalink

  • Site Apt/Unit/Suite

  • Site Name

  • Site Main Address

  • City

  • State

  • Zip Code

Study

  • Study Status

  • Study Key (Back End)

  • Indication

  • Protocol Number

Sponsor

  • Sponsor Name

  • Website

Study Details

  • Site Number

 

 

6. Go to Settings ⚙️, and Save Look. Set title to VT Study Export - [YOUR SITE NAME]

 

 

7. Go to settings ⚙️, and click Schedule

 

 

8. To schedule your CRIO Export:

  • Where should this data go? Select E-mail

  • Set the recipient to crio-data-imports@florencehc.com

  • Format data as: CSV

  • Trigger set to Repeating interval

  • Select time interval as Daily

  • Important: In Advanced options,

    • deselect (uncheck) Apply visualization options

    • select (check) All Results

 

Custom Report for Internal Contacts

  1. Search Internal user, then select Internal user

     

2. Select each of the Fields below to add to Custom Report:

 

Organization

  • Permalink

User

  • User Key (Back End)

  • First Name

  • Last Name

  • Title

  • User Professional Headline

  • Email

  • Is Active (Yes / No)

 

3. Go to Settings ⚙️, and Save Look. Set title to VT Staff Export - [YOUR SITE NAME]

4. Schedule report to be emailed. Follow the same steps as in Step 7 above "To schedule your CRIO Export".


Custom Report for External Contacts

  1. Start from Explore, search for and select external users

2. Select each of the Fields below to add to Custom Report:

 

Organization

  • Permalink

User

  • User Key (Back End)

  • First Name

  • Last Name

  • Email

  • Cell Phone

  • Office Phone

Study

  • Study Key (Back End)

Study External User

  • Role

  • Is Active (Yes/No)

3. Go to Settings ⚙️, and Save Look. Set title to VT Contacts Export - [YOUR SITE NAME]

 

4. Schedule report to be emailed. Follow the same steps as in Step 7 above "To schedule your CRIO Export".


Custom Report for eSource Study Key Metrics

This report exports key metrics for studies, specifically important dates and recruitment data. This data will help to empower the Business Development team by providing a holistic view of all the data sources across your organization (ie previous FQ's, public profiles, etc) and even outside of it (ie pulling in relevant ClinicalTrial.gov data).

 

This report is optional. If there are any questions or concerns, feel free to reach out to our team to find out more about the exciting things being built at VersaTrial.
