Setup

At the end of this one-time setup, you will have created 5 custom reports using Realtime’s Report Builder. These reports should be emailed to realtime-data-imports@florencehc.com on a regular cadence. The ideal cadence is weekly and on an as-needed basis when new studies are added. If Florence StudyOrganizer is provided with Realtime credentials, we can complete this step for you.

 


Overview

Using the RealTime Report Builder, you will create a saved Custom Report that includes all the data needed for the Florence StudyOrganizer.

 


Create Custom Report for Study Data

  1. Go to Administration > Admin Reports

2. Under Data Categories, select Study Information

  • You can either Check All Items

  • Or select these specific fields:

  • Clinical Description
    • Complete Protocol Title
    • CRO
    • Custom Study ID Number
    • IRB
    • Lead Coordinator
    • Principal Investigator
    • Protocol
    • Site Location
    • Site Number
    • Sponsor
    • Study Indication
    • Study Number
    • Study Phase
    • Study Status
    • Sub-Investigators
    • Therapeutic Area

 

3. Check No Date Filter

 

4. Save the report by clicking Save as New and save as Study Organizer - Study Data


Create Custom Report for Staff List

1. Go to Administration > Admin Reports

2. Under Data Categories, select Staff Profile Information

  • You can either Check All Items
  • Or select these specific fields:
    • Staff Account: Active
    • Staff Account: Assigned Site Locations
    • Staff Account: Assigned Studies
    • Staff Account: Date Added
    • Staff Account: Email
    • Staff Account: First Name
    • Staff Account: Last Name
    • Staff Account: Phone 1
    • Staff Account: State

 

3. Check No Date Filter.

4. Save the report by clicking Save as New and save as Study Organizer - Staff Data

 


Create Custom Report for Provider list

1. Go to Administration > Admin Reports

2. Under Data Categories, select Provider Profile Information

  • You can either Check All Items
  • Or select these specific fields:
    • Provider Account: Active
    • Provider Account: Assigned Site Locations
    • Provider Account: Assigned Studies
    • Provider Account: Date Added
    • Provider Account: Email
    • Provider Account: First Name
    • Provider Account: Last Name
    • Provider Account: Phone 1

Provider Account: State

 

3. Check No Date Filter

 

4. Save the report by clicking Save as New and save as Study Organizer - Provider Data

 

 


Export All Contacts from Contacts View

 

  1. Go to the Contacts Tab

  2. With an empty search, click Find

  3. Click the Green Excel icon in top right corner


Create Custom Report for Study Key Metrics

This report exports key metrics for studies, specifically important dates and recruitment data. This data will help to empower the Business Development team by providing a holistic view of all the data sources across your organization (ie previous FQ's, public profiles, etc) and even outside of it (ie pulling in relevant ClinicalTrial.gov data).

 

Study Enrollment Data

  1. Go to Administration > Admin Reports

  2. On the left hand side under the Business Development category, select the Study Metrics report

  3. Select the Output to Excel checkbox

  4. Click Display Report
